How job tracking actually works

Everything is plain language — no slash commands, no fixed syntax. A few examples from a typical electrical workflow:

Adding a site and job:

"Add a new site — 22 Station St Northcote VIC 3070, residential house"

"Add a job to site S3: install switchboard, qty 1, rate $480, schedule next Thursday"

Jobs live against sites, so everything for 22 Station St stays together. Assign a job to a specific sparky on the crew, or leave it unassigned. Workers log in from their own phone and see their own assigned jobs; owners and managers see all jobs across every site.

Materials are tracked per site and move through three statuses: request, ordered, fulfilled. Update the status when stock arrives:

Issues and compliance notes:

"Log an issue at S4 — RCD keeps tripping in kitchen"

Send a photo immediately after and offsider attaches it to that issue. Workers can log and update issues; only owners and managers can mark them resolved. There is no formal certificate-of-compliance workflow here, but having the photo and description filed against the site on the day you found it — not reconstructed from memory at invoice time — is worth something when a job comes back six months later or a client questions a charge.

Variations, quotes, and tax invoice PDFs

Scope creep is part of every electrical job. When the client wants two extra circuits that weren't in the original scope, you capture the extra work as a variation:

"Create a variation for site S3 — extra circuits to garage, confirmed with Dave"

Add jobs to the variation with their names, quantities, and ex-GST rates. When you're ready to send a quote:

"Generate a quote PDF for variation V2"

The PDF is sent to you, not to the client. You forward it however you normally would — email, text, WhatsApp, or hand it over in person. There is no payment tracking or outstanding-balance view; variations have statuses (new, approved, completed) but offsider doesn't track whether an invoice has been paid.

Appointments and reminders

Book a site inspection or follow-up by message:

The activity summary gives owners and managers a count of what happened across sites, jobs, and issues in any time window. Team members are managed by the owner; workers receive their own WhatsApp number connected to offsider and see only their assigned work.
